The PBIS Rewards September 2026 release is scheduled for September 29, 2026. This release gives staff new ways to document student behavior, organize classes into smaller groups, and manage hall passes for many students at once.
✨ What's New in This Release
Student Comments & Notes
💬 Add Comments Without Awarding Points
Staff can now leave a comment or note for a student without awarding points. This makes it easier to document behavior and share feedback, even when points are not being awarded.
⚙️ Admin Setting
- A new option under Settings > Options > Give Comments lets admins allow comments without points
- This setting is turned off by default, so admins can choose whether to enable it for their building
✏️ Where Staff Can Add Comments

Home Page and Groups Page: "Include Comment" is now "Add Comment." When Add Comment is selected without points, the Reward button changes to Comment

Students Tab: Select multiple students and choose Add Comment from the Actions menu to comment on several students at once

PBIS Rewards Staff App: Select Add Comment without choosing points, then use Scan for Student to find the student
👀 Where Comments Appear

Points Activity Tab: The Points column is now called Details. Icons show whether an entry includes points, points and a comment, or a comment only. Comments can be edited here

Student App and Student Portal: Comments without points show "N/A" for points. In the Student App, "Point Comments" is now called "Comments"

Family App: When comments are turned on, a message icon marks comments given without points
Groups
🧩 Sub-Groups within Groups
Staff can now organize the students in a group into smaller Sub-Groups, such as reading groups or table groups, and reward them together.
➕ Create Sub-Groups
- Create a new Sub-Group from the Group Settings menu, give it a name, and add students
- Each Sub-Group name must be unique within the group, and each student can only belong to one Sub-Group at a time
- Sub-Groups are shared, so other staff who have the group favorited will see them too
📋 Unassigned Students
- Students who have not been placed in a Sub-Group appear in an Unassigned Sub-Group at the bottom of the list
- Staff can move students from Unassigned into an existing or new Sub-Group
🛠️ Manage Sub-Groups
Each Sub-Group includes Select All, an Actions menu, and the option to expand or collapse it. From the Actions menu, staff can:
- Rename the Sub-Group
- Reorder students (using our NEW drag and drop tool)
- Move students to a different or new Sub-Group
- Remove students (they return to Unassigned)
- Delete the Sub-Group
🖨️ Group Print
- When printing a group, staff can choose to print all students or only specific Sub-Groups
📱 PBIS Rewards Staff App
- Sub-Groups appear in the Staff App in the same order as the web portal
- Staff can select all students in a Sub-Group, or the whole group, to award points quickly
- Sub-Groups are created and edited in the web portal only
Referrals
👥 Turn Impacted Person Tracking On or Off
Admins now control whether the Impacted Person field is used on referrals, so schools can follow their district and state requirements.
- A new option in Referral Settings turns the Impacted Person field on or off
- When turned on, the field appears on referrals, in reports, and in report filters
- When turned off, the field is hidden from referrals, reports, and report filters
Hall Pass Plus
Important Note: These features require the Hall Pass Plus add-on.
This release builds on the Hall Pass Waitlist and adds new tools for scheduling passes for many students at once.
⏱️ Waitlist Notification Timeout
When a student reaches the front of the waitlist, the student and staff member receive a notification to start the pass. Admins can now set a time limit so passes keep moving when no one responds.
⚙️ New Admin Setting
- Admins can set a Notification Timeout of 1–60 minutes in the Hall Pass Waitlist settings
- The setting is saved for the whole building
🔔 Clear Time Limits in Notifications
- Waitlist notifications show the time by which the pass must be started, in the user's local time
- This time appears in the Staff Portal, the PBIS Rewards Staff App, and the Student Portal
🔄 When Time Runs Out
- The notification is removed, and the student keeps their place on the waitlist
- The next student on the waitlist is notified automatically
- If no other students are waiting, the student stays on the waitlist until another pass becomes available
If no Notification Timeout is set, waitlist notifications work the same way they do today.
📊 Waitlist Report
A new Waitlist Report shows how the waitlist is used across the school.
- The main report shows each student's total waitlists, total overrides, total cancellations, average time on the waitlist, and total time on the waitlist
- Select a total to drill down into each waitlist entry, including the date, time on the waitlist, location, status (Started, Overridden, or Canceled), and whether a staff member or student took the action
👥 Bulk Scheduled Hall Passes
Staff can now schedule the same hall pass for many students at once from the web portal and the PBIS Rewards Staff App.
📅 Schedule Passes for a Group
- Add up to 100 students to a single scheduled pass
- Choose one approving staff member, date, start time, and location for the whole group
✅ Approve or Deny Passes for a Group
Approving staff will see the group as one row on the Scheduled Passes to Approve tab. Selecting Approve or Deny offers three choices:

Approve all: Approves every pass in the group

Deny all: Denies every pass in the group. A denial reason is required and applies to all students

Manage individually: Approve or deny each student separately. A denial reason is required for each student who is denied
The group shows Pending Approval until every pass has a decision. When some passes are approved and others are denied, the row shows both statuses.
Navigate360 Products
🧭 App Switcher
A new App Switcher gives users one place to explore the Navigate360 family of solutions.
- Select the new grid icon in the PBIS Rewards header to open the Navigate360 Products panel
- Select any product to learn more, or choose Explore All Navigate360 Solutions
🚀 Getting Ready for the Release
No action is required before the release. However, we recommend:
- Reviewing new admin settings, including comments without points, Impacted Person tracking, and the Waitlist Notification Timeout
- Sharing Sub-Groups and Bulk Scheduled Hall Passes with your staff
- Exploring the new Waitlist Report after the release
