The Visitor Management November 2026 release is scheduled for November 2, 2026. This release makes it easier to find and update volunteer profiles, gives administrators clearer confirmation before they change volunteer settings, adds volunteer activity to the Activity Log, and includes several fixes.
✨ What's New in This Release
Volunteer Profiles
🔎 Search Volunteers by Email
Users can now search the Volunteers list by email address as well as by name, which makes it easier to find an existing profile when a new applicant's email address is already in use.
📍 Where to Find It
- Open the Volunteers page and select any tab: Approved, Pending, Rejected, or Blocklisted
- Each volunteer's email address now appears beneath their name. Long email addresses end with an ellipsis (…), and hovering shows the full address
- The search field now reads Search by Name or Email and returns profiles with a matching first name, last name, or email address
- If no profile matches, a clear no-results message appears
✏️ Edit Personal Information on Approved Profiles
Important Note: This update is available to District Admins, District Volunteer Coordinators, and Building Volunteer Coordinators.
Admins can now correct basic identifying information directly on an approved volunteer's profile, so a small correction does not require the volunteer to resubmit their full application.
📝 What You Can Edit
- Select Edit on an approved volunteer's profile
- These fields in the Identifying information section are now editable, whether the profile was created manually or through an application: First Name, Middle Name, Last Name, Maiden/Other Names, Date of Birth, and Gender
- After you select Save Changes, a confirmation message recommends that the volunteer resubmit their full application for any change beyond a minor correction. This is a recommendation only and does not prevent you from saving
🔁 Reapply with the Same Email
Former volunteers whose profiles were deleted or have expired can now apply again with the email address from their original profile, without contacting Support or the district.
📬 How It Works
- The Volunteer Application now accepts an email address tied to a deleted or expired volunteer profile
- The new application updates the existing applicant and volunteer records instead of creating duplicates, similar to a renewal application
- The application appears on the Pending Volunteers tab
- When the application is approved, the original profile returns to the Approved Volunteers tab with any updated information applied
Volunteer Application Settings
Important Note: These updates are available to District Admins and District Volunteer Coordinators.
✅ Clearer Confirmation When Updating Expiration Settings
The final confirmation message now separates district-wide totals from totals for the current building, so there is no confusion about which profiles will be updated.
📍 Where to Find It
- Go to Admin > Application Approval > Volunteer Application Expiration
- Update the Expiration Timeline or Fixed date, and then select Save
- Select Apply to All Approved Volunteers
- The final confirmation shows the total profiles district-wide and the total profiles in the current building
🏫 Confirm Building Access Changes for Existing Volunteers
When you update the Schools the Application Applies To setting, you can now choose whether the change also applies to existing volunteers, or only to new applications.
📍 Where to Find It
- Go to Admin > Customize Application > Customize Questions
- Update the Schools the Application Applies To setting to open a confirmation message
🔀 Your Options
- When switching to Entire District, select Update all volunteers to give every existing volunteer access to all buildings in the district. The confirmation shows how many volunteers will be updated. Or select Save for new applications only
- When switching to Schools Specified by User, select Reset all volunteers to return existing volunteers to the buildings they originally selected on their application. This replaces their current building assignments and overwrites any changes made after approval. Or select Save for new applications only
- In both cases, select Save to confirm or Cancel to go back
Activity Log
📋 Volunteer Activity in the Activity Log
The Activity Log now keeps an auditable record of key volunteer changes, so admins can see who changed volunteer data, what changed, and when.
🗂️ New Events
- Manually added volunteers: Volunteers added one at a time or through bulk import are logged. For bulk imports, select the link in the log entry to open a details modal listing each imported volunteer's name and email and their building total. Select the building total to see that volunteer's buildings. Volunteers under 18 show the Minor Volunteer icon on their profile avatar
- Deleted volunteer profiles: The log shows whose volunteer profile was deleted
- Deleted rejected applications: The log shows whose rejected volunteer application was deleted
- Edited building access: Select the link in the log entry to open a details modal showing the updated list of buildings saved for that volunteer
- Schools the Application Applies To changes: The log records the change and the option selected, so you can see whether building access was updated or reset for all volunteers, or applied to new applications only
📍 Where to Find It
- Go to Admin > Activity Log
- Search by a volunteer's name or by keywords from the event
🛠️ Fixes
This release also includes fixes for issues reported by customers.
- Bulk volunteer upload: Uploads no longer stop when the Address or Address Line 2 column contains only numbers. The Phone Number column now also accepts common US formats, including (XXX) XXX-XXXX, (XXX)XXX-XXXX, XXX-XXX-XXXX, and +1 XXX-XXX-XXXX
- Label printing: Fixed an issue where printing could stall on DYMO 450 Twin Turbo printers, with labels no longer printing after several successful prints
- Volunteer portal: Approved volunteers can now open the volunteer application tab in their settings profile without a permissions error
- iPad kiosk scanning: Fixed an issue where the kiosk camera view appeared blank and could not scan IDs after an iPad was updated to iOS 27.0.1
- Newer Oklahoma IDs: Fixed an issue where camera scanning would fail for newer Oklahoma ID formats
🚀 Getting Ready for the Release
No action is required before the release. However, we recommend:
- Sharing the new email search and the reapply option with your volunteer coordinators
- Reviewing your volunteer application settings before you change Schools the Application Applies To or expiration settings, since the new confirmation options can change building access or expiration for existing volunteers
- Checking the Activity Log to see the new volunteer events
If you have questions about any of these updates, please contact our support team or visit the Visitor Management Knowledge Base for additional resources.
