BTA Teams Meetings feature allows multidisciplinary teams to record the date and attendance of team meetings. It also allows for the recording of notes and relevant information discussed that does not directly belong on a threat assessment case.
How to log a Team Meeting:
1). From the Case Manager home screen, click My Teams in the toolbar.
2). Select the team you want to log a team meeting for and click View.
3). From the menu, click Meeting Logs on the far right.
Step 5: Select +New Logs to add a new meeting log.
Complete the Meeting Log entry. We recommend following the order below when completing meeting notes:
- Title
- Date
- Place of Meeting
- Participants: this participant list is specific to BTA Users
- Additional Participants: Use this section to add additional meeting attendees who are not active users in BTA.
During the meeting, leverage the “Related Cases” section on the left to view all cases associated to your team. These will be both open and closed cases. Quickly see the Person of Concern and Case #. If you need to open the case for further review, select “View” to open the case in a new browser tab.
Before completing your team meeting entry, be sure to log all meeting minutes in the “Summary”!
Additionally, Team Meeting Logs give you the opportunity to attach files, create tasks for Team Members, and add additional notes outside of your Summary Report.
Once complete, save your Team Meeting Log by selecting “Add”.
All completed Team Meeting Logs can be found in the “Teams” section under “Team Meetings”. Leverage the Search Bar to quickly find Team Meeting entries based on Date, Titles, or Cases.
Frequently Asked Questions:
Who can view Team Meeting Logs? By default, Team Meeting Logs are only accessible by members of that BTA team. Only Admin Users within the BTA Case Manager system can view all Meeting Logs.
How can I export a specific Meeting Log? After the Team Meeting is logged, navigate to the “Team Meetings” section. Find the specific Meeting you would like to export and select the three dots … on the right side of the meeting. Select Export.
How can I export ALL meeting logs created by my BTA Team? In the Teams Tab, select “Team Meetings”. Select “Export All” to export all meeting logs. This report will be generated as a .xlsx file.
How can an Admin User export all Meeting Logs created across all BTA teams? Starting from the home screen, select the “Admin Tab”. In the Metrics section, scroll to the bottom of the screen to find “Reports” section. In this section you can select Export All Teams Meeting Logs within a specific reported date range. This report will be generated as a .xlsx file.
Where in the BTA Case do I see that the case has been discussed in a Team Meeting? Clicking into the case, hover over the “i” next to the Case #. You will find any meetings listed where the case was discussed.
