Rebranded User Interface
All Visitor Management pages have been updated with a modern look and feel, matching our other apps in the Navigate360 product line. Although Visitor Management looks different, you’ll find everything you need in the same place as before, ensuring a seamless transition. Additional UI updates for the Volunteer Management modules and Visitor Management mobile app are also coming soon!
Self-Serve Workflow Enhancements
Device Settings Updates
New Self-Serve Printing Functionality:
All users will see that the Printer Setup page has been updated with a new Self-Serve section. This will allow users to select separate default Visitor Check-in badge printers and Student Tardy/Early Dismissal slip printers for Staff-Assisted and Self-Serve stations. This also allows for badges to be printed from DYMO Wireless Printers, directly at the Self-Serve station.

ID Scanning Method Options:
All users will see that the ID Scanning Method page has been updated by consolidating the ID Card Scanner options into a single tab titled: ID Scanner. The same ID Card Scanner models are still supported as before (such as the ID-150), but are now combined into a single option. Please note that no additional configuration will be needed for existing scanners, all previously installed scanners will be listed on the new ID Scanner tab.

Admin Settings Updates
Required Visitor Check-in Info:
Admin users will see a new page in the Admin Settings menu titled: Visitor Check-in Settings. On this page, Admins will be able to select which information is mandatory or optional for a visitor to check into their building(s).

Student Badge Printing:
Admin users will see a new section on the Student Tracking page titled: Badge Printing. In this section, Admins will be able to allow specific grade levels to have their Tardy and/or Early Dismissal badges printed directly from Self-Serve. This will streamline the check-in and check-out process for students without the need for a staff member to print their badge manually.

Require a New Visitor Picture for Every Visit:
Admin users will see a new section on the Check-in Badge page titled: Visitor Picture. In this section, Admins will be able to enforce that a new picture is required for every visit before a visitor can check into the building, ensuring that the most recent picture is printed on their visitor badge.

Prevent First-Time Visitors from Using Self-Serve:
Admin users will see a new setting on the Self-Serve Setup page, under the Visitor section, titled: First Visit Options. This setting will allow Admins to prevent visitors from using the Self-Serve station on their first visit to their building(s).

Student Self-Serve Workflow Updates
Student Late Check-in and Badge Printing from Self-Serve:
Students in specific grade levels will now be able to check themselves in and have their tardy badge automatically printed at the Self-Serve kiosk, if their grade level has been set in the Student Badge Printing section by an Admin user.
After a student completes their check-in, Staff users will see a new banner at the top of their page titled: Finalize Late Check-in. Users will be able to open the Finalize Late Check-in popup window by selecting the students name in the banner and mark the check-in as excused or unexcused.

Student Early Check-outs and Badge Printing from Self-Serve:
Students in specific grade levels will now be able to check themselves out and have their early dismissal badge automatically printed at the Self-Serve kiosk, if their grade level has been set in the Student Badge Printing section by an Admin user.
During the check-out process on Self-Serve, students in specific grade levels will see a “Who is checking you out?” field that is required in order to finish the check-out. Students will be able to select Parents/Guardians that are linked to their profile or type another name that isn’t listed in the dropdown.

Reprint Student Tardy and Early Dismissal Badges:
All users can now reprint student badges from the Check-in & Check-out History page. This allows users to easily reprint a student's badge in case of issues with the original badge or if it failed to print.

Visitor Check-in Workflow Updates
Self-Serve and Staff-Assisted Visitor Check-in - ID Scanning Process:
If the 2D Scanner or ID Scanner method is selected on the ID Scanning Method page, all users will be able to switch between the default scanning method, camera scanning, and manual check-in options while checking in a visitor on the Staff-Assisted station. Allowing users to quickly switch between scanning methods if the visitor has an ID that is not supported by the default method.
If the 2D Scanner method is selected on the Self-Serve Setup page, visitors will be able to switch between 2D Scanning and Camera Scanning while checking in on the Self-Serve station. Allowing visitors to quickly switch between scanning methods if they have an ID that is not supported with 2D scanning, such as a U.S. Passport Card.

First-Time Visitor Workflow on Self-Serve:
If the option to prevent first-time visitors from using Self-Serve has been enabled by an Admin, first-time visitors will see a message to see the front desk after scanning their ID. Staff users will a Confirm New Visitor Check-in banner on the Staff-Assisted station. Users will be able to click the visitor’s name on the banner to complete the check-in process with the information from the ID scan on Self-Serve.

New Visitor Picture for Every Visit on Self-Serve and Staff-Assisted:
If the option to require a new picture be taken for every visit has been enabled by an Admin, all visitors will be prompted to take a new picture after scanning their ID on the Self-Serve station. After taking the photo, they will be able to continue the check-in process and have the new picture printed on their visitor badge.
When checking in a visitor on the Staff-Assisted station, users can take a new photo of the visitor by clicking on the visitor’s current picture on the Visit Details page. The user can then continue the check-in process and the new picture will be printed on the visitor’s badge.

Visit Details Updates:
All users will see a new Mobile Number field on the Visit Details page after scanning a visitor’s ID. The mobile number entered into this field will be saved to the visitor’s profile and can be used to send an invite to the Visitor Check-in mobile app. All users and visitors will see which fields have been marked as mandatory by an Admin, in order to complete the check-in process on Self-Serve and Staff-Assisted stations.
